CHAPTER – TWENTY ONE
REPORT WITING
Report writing is a type of essay that recounts an event. It gives a detailed outcome of an
event or occasion. We write reports to narrate what happened in an event or incident.
Structure of a report
Introduction
The introduction of a report summarises the whole report. It contains all the facts in the
report you are about to write. The introduction of an incident report serves to explain the
significance of documenting incidents. It emphasises the importance of providing a clear and
factual account of unexpected events to ensure proper investigation, accountability, and
prevention of future occurrences.
Key Elements
The introduction should highlight the essential components of an incident report, such as:
Date, Time, and Location: Establishes when and where the incident occurred. People
Involved: Identifies the individuals involved, including witnesses.
Incident Description: Offers a brief overview of the event.
Importance of Objectivity: Emphasise the need for objectivity in the report, avoiding
personal opinions or assumptions, and sticking to the facts as observed.
Relevance: The introduction should underscore how incident reports play a crucial role in
enhancing safety procedures, guiding organisational responses, and providing a record for
future reference.
